"File too large." It is one of the most common PDF problems - especially with scanned documents and presentations. Here are the size limits of popular services and seven free ways to get your PDF through.
Table of contents
Common size limits
| Service | Attachment / upload limit |
|---|---|
| Gmail | 25 MB per email |
| Outlook.com | 20 MB (desktop Outlook often 20-25 MB) |
| WhatsApp documents | up to 2 GB, but large files are slow for the receiver |
| Government and job portals | often 100 KB - 5 MB |
1. Compress the PDF
The most effective fix. Compress PDF typically shrinks scans and image-heavy files by 50-90%. Start with Recommended, then try Extreme. See our guide on compressing a PDF to 100KB for strict portal limits.
2. Remove pages you do not need
Blank pages, covers and appendices add size. Remove them with Delete PDF Pages.
3. Split it into parts
Some forms allow several uploads. Split PDF can cut the file into equal parts (for example every 10 pages).
4. Convert color to grayscale
Color scans are much larger than black-and-white ones. Grayscale PDF removes color data.
5. Rebuild from smaller images
For photo-based PDFs, export pages with PDF to JPG at 96 DPI and rebuild with JPG to PDF.
6. Resize oversized pages
Scans sometimes use huge page sizes. Resize PDF to A4 or Letter keeps printing consistent.
7. Share a link instead
For very large files, upload them to Google Drive, OneDrive or Dropbox and email a link. Gmail does this automatically for files over 25 MB.
