Applications, registration forms, tax documents and school forms often arrive as PDFs. Printing them, filling them in by hand and scanning them back is slow and looks messy. Here is how to fill out any PDF form on your computer or phone - for free, without Adobe Acrobat.
Table of contents
Step 1: Check if the form is fillable
Open the PDF in your browser and click on a blank line. If a text cursor appears or the field is highlighted, the form has fillable fields. If nothing happens, it is a flat form - a scan or a printed page saved as PDF. Both can be filled; they just need different tools.
Step 2a: Fillable forms
- Open Fill PDF Form and select the file.
- Every field is listed: text boxes, checkboxes, drop-down lists and radio buttons.
- Type your answers and choose the options.
- Tick Flatten after filling if the form is final, then click Save filled PDF.
Field names come from whoever created the form, so some may be short codes. Keep the PDF open in another tab to see where each field sits on the page.
Step 2b: Flat forms (no fillable fields)
- Open Edit PDF and select the form.
- Choose Text, place a text box on each line and type your answer.
- Use Box or a text "X" for checkboxes.
- Made a mistake? Cover it with White-out and type again.
- Click Save & download PDF.
Step 3: Sign the form
Most forms need a signature. Use Sign PDF to draw your signature with a mouse or finger, type it in a handwriting style, or upload a photo of your signature on paper. Add the date next to it.
Step 4: Lock and send
- Flatten the finished form with Flatten PDF so the answers display correctly everywhere and cannot be changed.
- Attaching documents? Combine them with Merge PDF.
- File too big for the upload form? Shrink it with Compress PDF.
- Contains personal data? Consider adding a password with Protect PDF before emailing.
Common problems
| Problem | Fix |
|---|---|
| Answers disappear when the form is opened on a phone | Flatten the form before sending it. |
| The form says it is "secured" | Remove the known password with Unlock PDF first. |
| Text does not line up with the lines | Drag the text box in Edit PDF and use a smaller font size. |
| The office wants a printed, signed copy | Fill and sign digitally, then print the finished PDF. |
